Data Protection notice for the Vodafone Video Assistant [VRA]

1.Your data – our responsibility

Your privacy is important to us. In this data protection notice you will find out everything about how we, Vodafone UK, The Connection, Newbury RG14 2FN, England, United Kingdom, as the person responsible for data processing in connection with the Vodafone Video Assistant (hereinafter "VRA"), handle your personal data 

2.Permissions and Data Access

In order for the VRA to function properly, we need access to certain functions of your end device and data stored on the device.

At the beginning of a transfer, we request the following permissions. If you grant permissions, we use them to the following extent: 

Activate camera
The app requires access to your camera so that you can take pictures when using the app. The app does not save your recordings 

Unrestricted internet access
Unrestricted internet access is required so that the app can exchange data with our systems 

Activate microphone
Access to your microphone will be requested as soon as you activate the microphone. By default, this is switched off when the transfer starts, since an existing telephone connection has already been established via the hotline 

3.Other data that we process from you

The types of information we process include:

  • Your registration information, such as session IDs and your telephone number or e-mail address, in order to be able to send you the invitation link
  • Start and end time of the transfer

4.When we collect your personal information 

We collect personal information when:

  • We will send you a link to the video transmission via SMS or email
  • you agree in the first step

5.Basics of data processing

We process your personal data on the following bases:

  • compliance with a mandatory legal obligation, including accounting and tax requirements (such as retention requirements); or
  • Your consent unless we rely on another legal basis. Consent will always be presented to you separately and you can withdraw it at any time.

How we use your personal information

We use your personal data as follows:

a) For the provision of the service, i.e.:

  • to send you the link to start the video transmission

b) for improving the service
    We collect anonymous, de-identified or aggregated information to improve the service we offer to you. 

7.Legitimate Interest and Analytics

In addition to the cases mentioned above, we may also process your personal data within the scope of our legitimate interest for the following purposes:

  • Ensuring technical availability and information security
  • Asserting Legal Claims
  • Sales and corporate management
  • Optimisation of internal processes
  • Examination and optimisation of needs analyses
  • Improvement of products and services using analytical and statistical methods
  • Improvement of service quality using analytical and statistical methods
  • Improving customer satisfaction using analytical and statistical methods

This data processing takes place, considering, the principle of data minimisation and, as far as possible, in an anonymous, pseudonymous, or aggregated form. As a result, you are either no longer recognisable as the person behind the data or only with specially protected additional information. For this we replace e.g., B. your name with another, randomly chosen value. You can object to the processing of your personal data for the purposes of advertising, market and opinion research and satisfaction surveys at any time. In the other above-mentioned cases, please state the reasons for your objection that arise from your particular situation. Contact details for exercising your right of objection can be found under Section 10.

8.Deletion and blocking of your data

We delete your contract data after the end of the contract, but not immediately. The law requires us to e.g., B. for business audits. The archiving period is up to 10 years. We will then permanently delete your data. If you have given us your consent to store your voice recordings, we will delete them after 90 days at the latest.

The video of the transmission, as well as any screenshots taken, are discarded immediately after the end of the session, and not saved.

We will delete your SMS number or e-mail address for sending the transfer link after 3 months. 

9.Your Privacy Rights

Has your data changed? Let us know. Or has an error crept into your customer data? We change that for you. Do you want to have personal data deleted? Tell us exactly what information is involved. We will then delete all data for which we no longer have a reason to store. Do you want to take the data you have given us with you? No problem, we will provide them to you in text form.
